FOR STUDENTS

Everything you need to enroll, without the guesswork.

Register with your AG number

Your record already exists — registering just attaches a password to it, proven with your AG number, CNIC, and date of birth exactly as the university holds them.

How it works
  1. Go to Register, enter your AG number, CNIC, and date of birth.
  2. Choose and confirm a password.
  3. You're signed in immediately, straight to your dashboard.

Complete your profile (one-time)

Father's name, section, address, parent contact, and Math-at-Intermediate status — fields the real UG‑1 form needs. Required once before anything else is reachable.

GPA, CGPA & your scheme

Computed fresh every time using UAF's official Quality Point Table. An improved grade only replaces the old one in your CGPA if it's strictly higher — your term GPA is never rewritten. Your scheme view shows only the courses that apply to you (substitute pairs, Math deficiency) semester by semester.

Improvement courses

An F stays eligible for retake until you pass it; a D is eligible for exactly one retake. A course you've already passed is never offered again.

Enroll for a semester & print your UG‑1 form

The system pre-lists your mandatory courses and checks every credit-hour rule live, before it ever reaches your advisor.

How it works
  1. Submit your fee for that semester first (Regular / Deferment / Scholarship / Installment) — enrollment won't open without it.
  2. Open "Enroll for this semester" — only your actual current semester can be freshly started.
  3. Mandatory courses are pre-listed; where the scheme offers a substitute pair (e.g. Islamic Studies / Ethics) you pick one.
  4. Add any F/D improvement courses you're eligible for — capped at 12 extra credit hours (27 from semester 9 onward).
  5. Your total load is checked live: 27 CH from semester 3 on, up to 30 CH in the two semesters before your internship.
  6. Submit — you're taken straight to your printable UG‑1 form (all four copies: Controller's, Principal's, Class Advisor's, yours).

Fee submission

Regular payment, deferment, scholarship, or installment — each with its own upload. Your advisor reviews and verifies it; resubmitting resets it to Pending for a fresh look.

Refresh your LMS result on demand

Don't want to wait for the scheduled bulk fetch? Pull your own latest result right now (cooldown applies between requests).

Complaints

File one (Academic / Financial / Administrative / Other) and track it through to Closed — routed straight to your advisor.

Class timetable

No picker needed — your own program/semester/section's weekly schedule, resolved automatically.

FOR FACULTY

Your courses, your students, one dashboard.

Course roster

Auto-populated from students' own saved enrollments every time you open it, with manual CSV/Excel upload of AG numbers still available for anyone missing.

Notify your roster

Post a titled notice (Info / Event / Deadline) to exactly the students on one course — retractable afterward.

Timetable & workload

Add your own slots when your department's timetable is open, or submit a change request once it's frozen. Workload is generated automatically from your assignments — nothing to enter by hand.

Verify a student & approve enrollment

Look up any student by AG number for their full result/CGPA history and every semester's saved enrollment — flagged automatically if a course doesn't belong in that scheme, or breaks a credit-hour cap — then approve it.

Resolve an Incomplete ("I") grade

A make-up exam result never reaches the LMS automatically — it's entered here, and only then does it count toward the student's GPA/CGPA.

How it works
  1. Open "Enter Manual Result" for the student.
  2. Pick the outstanding Incomplete (course + term).
  3. Enter the marks obtained from the make-up exam.
  4. Save — it's priced against the same official Quality Point Table and counted immediately.
FOR ADVISORS

A duty layered on a faculty account — not a separate login.

Assigned per program (and optionally one semester) by an Admin. Everything below is scoped to exactly the students an advisor is responsible for.

Advisor dashboard

Semester cards for everything you cover, complaint counts, and your recent notifications.

Semester & teacher detail

Every course in a semester's active scheme with who teaches it and how many students are enrolled.

Complaints queue

Accept, Reject (with a reason), Forward to another staff member, or Close — once Closed, a complaint can't be reopened.

Fees review

Verify, Reject (with a reason), or reset to Pending — for oversight; it never itself blocks enrollment access.

FOR FOCAL PERSONS

Runs a department's schemes, faculty, and timetable.

Also a duty on a faculty account — exactly one active Focal Person per department. Every tool below is locked to their own department, enforced server-side, not just hidden in the UI.

Verify schemes

Mark a scheme in your department as reviewed — a re-upload resets that flag, since it needs fresh eyes.

Faculty management

Add, edit, deactivate, and bulk-upload faculty for your department — same tools Admin has, scoped down.

Scheme upload — Excel or PDF

Same two upload paths Admin uses (see below) — narrowed to your own department's programs.

Freeze the timetable & review change requests

Once frozen, faculty submit change requests instead of editing directly — you approve (optionally adjusting the slot) or reject, with a note.

FOR ADMINS

Full control over every record in the system.

Live dashboard

One stat tile per entity — students, faculty (by employment type), advisors, programs, courses, schemes, departments, plus a "needs attention" tile for pending complaints and flagged course codes. Every number is computed fresh, never cached.

Full CRUD, everywhere

Students, Faculty, Programs, Courses, Departments/Institutes/Centres, Schemes, Notifications, Academic Terms — search, filter, sort, paginate, add, edit. Deleting a student is the one truly destructive action, and requires re-typing their AG number to confirm.

Bulk faculty upload with automatic invitations

Import many faculty accounts at once from a spreadsheet (built to pair with a Google Form export) — each row is independent, so one bad row doesn't stop the rest.

How it works
  1. Download the Excel template (email/name/department/designation/contact/employment type columns).
  2. Fill it in — or collect it via a Google Form and export the responses as Excel.
  3. Upload it on the Bulk Add Faculty page.
  4. Each valid row creates an account with a temporary password and sends an invitation email automatically.
  5. Results show exactly which rows succeeded (with the temp password) and which failed, and why.
  6. Every new account is forced through email verification + password setup on first login.

Scheme upload — Excel path

How it works
  1. Go to Upload Scheme, pick the program and session name, and download the template if you need it.
  2. Upload a workbook listing every course — semester, code, title, credit hours (theory/lab split), category, prerequisites, and substitute-pair codes where relevant.
  3. The whole file is validated up front — every error shown at once, not one at a time.
  4. If clean, it commits straight to the database as a new scheme.

Scheme upload — scanned PDF (OCR-assisted)

For the common case where the only copy of a scheme is a scanned document — nothing is ever auto-saved from OCR.

How it works
  1. Upload the scanned scheme PDF.
  2. OCR produces a best-effort guess at every row — nothing is saved yet.
  3. An editable review table shows every guessed row; correct any misread field or exclude a row entirely.
  4. Submit — the corrected rows are re-validated (duplicate codes caught here too) and, if clean, committed exactly like the Excel path.
SHARED SYSTEMS

The plumbing every role above relies on.

Secure account setup

Every admin-created account is forced through an emailed one-time code plus a real password before first use. Forgot-password works the same way for every role, and never reveals whether a username exists.

Notifications

One shared inbox model for every role — unread badges, bulk mark-read/delete, and a retract option for whoever posted it.

Timetable

Rooms and time slots as shared resources, per-department freeze/unfreeze, change-request review, and printable Class/Teacher/Room/Workload/Duty-List reports for any staff account.
